Generative AI (or “AI”) tools have become widely available for everyday use. While these tools can increase efficiencies in certain situations, their use also poses potential risks related to privacy, cybersecurity, regulatory compliance, confidentiality, and legal obligations.
Several federal agencies have established policies regarding the use of AI. For example, the National Institutes of Health (NIH)’s Notice NOT-OD-25-132 states:
“NIH will not consider applications that are either substantially developed by AI, or contain sections substantially developed by AI, to be original ideas of applicants. If the detection of AI is identified post award, NIH may refer the matter to the Office of Research Integrity to determine whether there is research misconduct while simultaneously taking enforcement actions including but not limited to disallowing costs, withholding future awards, wholly or in part suspending the grant, and possible termination”
In alignment with this guidance, EGC has established the following policies regarding the use of AI:
- EGC employees must not use AI in drafting proposal materials for our clients.
- EGC employees must not input Confidential Information (including information provided by clients) into AI tools.
- EGC employees must not input Personal Information about clients or other stakeholders into AI tools.
- EGC employees may use Generative AI tools to improve efficiency for non-confidential tasks, such as generating general knowledge or summarizing administrative communications (e.g., emails).
- EGC employees must verify the accuracy of all information generated by Generative AI tools before relying on it in any work product.
EGC is not responsible for determining whether any client-provided materials were generated using AI. Additionally, EGC is not liable for the administrative withdrawals of proposals by granting agencies that are flagged by AI detection tools. These tools may sometimes produce inaccurate results and may flag content that was not generated using AI.
